When collaborating on a sponsored project with other organizations, these relationships are generally formalized in a subcontract. Subcontracts are agreements between a prime organization and a subrecipient organization to carry out work under a sponsored project. PIs should work with the ORS Pre-Award team whether DePaul is being included as a subcontractor on another institution’s proposal or DePaul is including another organization as a subcontractor on a proposal.
Subcontractors in Your Proposal
Faculty are encouraged to contact ORS Pre-Award staff early in the proposal preparation process when their proposal submission involves another organization acting as a subcontractor.
ORS Pre-Award staff will work with the subcontractor organization to facilitate their inclusion in the proposal and ensure documentation is in place prior to proposal submission.
In addition to any proposal-specific documents, the following information is required from a subcontracting organization for proposal submission:
- A statement of work detailing specific services to be performed by the subcontracting organization
- A detailed budget
- A subrecipient commitment form, signed by an authorized representative of the subrecipient organization
This documentation will be incorporated into a subcontract agreement if the proposal is funded.
DePaul as a Subcontractor
When another institution is the prime applicant for the proposal, DePaul participates as that institution’s subcontractor. When participating as a subcontractor on a proposal, ORS Pre-Award staff will work with you to prepare a subcontract proposal to prime institution. When DePaul participates as a subcontractor on a sponsored project, the subcontract proposal undergoes the same internal review and approval process as a regular proposal submission.
It's important to keep in mind that the prime institution will need DePaul’s subcontract proposal prior to the sponsoring agency’s deadline so that there is sufficient time to incorporate DePaul’s subcontract documents into their application.
