Facility Operations requires that electronic work orders be submitted for any and all requests for services to be performed by its various maintenance units: custodial, electrical, engineering, carpentry, and painting.
Users will be prompted to share cost center chartfields when submitting billable work orders—those work orders that require a chargeback. If you do not know your department’s chartfields, please reach out to your area’s cost center owner. Also know that billable work orders will need to be approved by the cost center owner before work begins. And work orders with estimates that exceed $3,500 will need approval from both the cost center owner and the VP/Dean of your area. Examples of work that is charged and not charged back can be found here -
Chargebacks.
Work orders with a charge will be routed to cost center owners, as well as VP/Deans for approval within the IWMS—for this latter group, they will only need to approve work orders estimated to cost over $3500. This is new functionality that was typically handled via email when working with Metastorm.
All electronic work orders received will be reviewed by the Facility Operations administrative staff and assigned to the appropriate maintenance unit for action. Requested work will be assigned a priority based on when the work order was received and the nature of the work requested.
The Facility Operations office will contact users via the IWMS if there is a problem with completing the requested work in a timely manner.
Please note: As a result of summer and winter routine maintenance, the timing and performance of work requests may vary.
